Mindbridge Meeting Minutes Sept 4th, 2024

Treasurer’s Report (Jon): Down $1800, because AnimeIowa paid bills
IT Officer (Tony): n/a
Storage Manager (Carhoff Alliance)
1. Lost, Carhoff Family, and Brian Anderson all volunteered to take over the department. Collectively to be named the Carhoff Alliance.
2. Moove It has changed to iStorage. No price change at this time
3. Adam B would like a key for the locker.

Convention Reports-All conventions are looking for additional help.
1. ICON (Oct 18-20th, 2024)
  1. Next Meeting is Sunday Sept 15th at Noon at the Penticoff House and online.
  2. Programming Grid is almost done
  3. Jess will be reaching out to remaining people about Programming questions

2. Gamicon (Feb 28-March 2nd, 2025)

  1. Post-Mortem is going to be on Sept 21st at 2 PM at the Hyatt and online

Other Projects
1. Game Library-Michele
  1. Nate Orlow donated: “Great Western Trail: Argentina” and “Clank: Catacombs”
  2. Teresa Zesch donated: DnD 3.5 and 4.0 Player’s Handbooks and Dungeon Master Guides, and a copy of “Buzz Word”
  3. Evil Genius Games donated sourcebooks for the “Everyday Heroes” Modern day RPG.
  4. We received 2 copies each of “The Crow”, “Highlander”, “Escape from New York”, “Total Recall”, and “Universal Soldier”.
    1. Would really like to have the core rulebook if anyone has one they could donate.
    2. We would really like to see these run at Gamicon.
    3. Please contact Michele if you would like to check out a copy to run.
2. Video Game Library
  1. Working on going over old checkouts to see trends

4. Book Group
  1. Thursday Sept 12th A Memory Called Empire (Teixcalaan, #1) by Arkady Martine is At Panera on Edgewood Rd in Cedar Rapids at 6pm. Everyone is welcome
  2. Oct (TBD) we will be discussing will be a general discussion covering the books that we have read and those we would like to read.

Old Business
1. Volunteering at Mindbridge conventions 701C7 corporation. Bring up: Check with your job about volunteer incentives
New Business
1. Jenny Carhoff’s Board Position is up for election at ICON this year. Anyone interested please contact the Board for more information about the position
2. Discussion: Should ALL Convention ConComs be Mindbridge Members before Bid is accepted. Conclusion: Not a requirement, but recommendation
  1. Improves the connections between Conventions and Mindbridge
  2. AnimeIowa has it in their by-laws
  3. Concern: Lapsed membership
  4. Concern: Possibility of turning away ConCom Volunteers
3. Mindbridge Member and Mindbridge Board badge ribbons for the conventions to be stored in the Reg Cart. Board approved up to $100
4. Tony will be stepping back his involvement over the next two years. Not running for re-election in 2025
5. Future of ICON50- Since Tony is stepping back from duties Doug is concerned about the ConCom taking a hit.
  1. Announce at the Con that ICON50 will be in 2026, so that we can do it correctly since it is the 50th and we want to do a big bash.
  2. Reg can have Stretch Goals for 2026 on the forms so people can make a pledge. Also opt in to be contacted when reg opens
  3. ICON49 Reg is down
  4. No hotel signed for 2025
  5. Recommending to take a year off. Plan on coming back 2026.
  6. Worry about not coming back after
  7. No Programming Head right now
  8. Work on generating money and interest to improve and make it better
6. Harassment Policy
  1. Follow-up Meeting will be scheduled.
  2. Sheril would like to have Hate Speech on our social media added to the Policy.
7. Mindbridge and Conventions need a Code of Conduct
  1. Don’t be a Dink
  2. Social Media Clause
    1. If something can be view publicly on social media it will be viewed as a reflection of Mindbridge and its conventions
    2. Staff can be removed from the convention
  3. Does Mindbridge need to have a Lawyer on retainer for consultation about where we stand?
8. Mindbridge Jack Box Recurring Event: Social Gathering at Penticoff House every other month after Mindbridge Meeting
9. Capital City Gaming Con– October 11th-13th, 2024
Next meeting will be Wed Oct 2nd @ 7pm online and in person at the ARC in Iowa City ARC 2401 Towncrest Dr 2401 Iowa City, IA. Across the street from the church of the Nazarene, two blocks from the old building.
