Mindbridge Meeting Minutes Wednesday, March 3, 2021 at 7 PM online

  1. Call to Order
  2. Minutes – reading waived
  3. Treasurer’s Report – down about $2.7k, biggest cost was insurance.
  4. IT Administrator report – will have meeting soon, waited until after Gamicon
  5. Convention Reports
    1. Gamicon
      1. Convention was last weekend, had about 150 registrants.
      2. Had about 117 events, several with full “tables”
      3. Next Gamicon meeting March 28, 6 PM, on Discord
      4. Web site is up for Gamicon Gallium (Feb 2022)
      5. Carried over all pre-reg paid badges to next year
    2. AnimeIowa
      1. Convention will be July 30-Aug 1, 2021, Coralville Marriott
      2. Staff meeting Saturday, March 13, 2 pm, online
      3. Looking at plans for gaming & video gaming, sanitizing, etc
      4. Set cap of 2,000 attendees
      5. Planning on barriers for registration, etc
      6. Instating screening questions for staff and attendees
      7. Requiring masks in all public areas
      8. Hotel has several touchless hand sanitizer stations
      9. Will encourage social distancing, Marriott has guideline of 3 feet.
      10. Hotel standard max of 4 people in an elevator at a time
      11. Will be providing masks and face shields for staff on request
      12. No rave this year
      13. Looking at an online concert
      14. Convention will not sanction room parties but cannot forbid them
      15. Planning on mix of virtual/online and live programs
      16. Hotel will replace linen on tables between panels
      17. Hotel will be using fog machines to sanitize rooms and restaurant at night
      18. In person vs online only decision can only be made if the hotel says cancel.
      19. Hotel will not be doing water stations.
      20. Website has a section on health and safety

      1. Staff Meeting March 13, 10 AM, online
      2. Working with hotel on health guidelines
      3. Convention is October 15-17, 2021
  6. Other Projects
    1. Game Library Planning to meet with Jim in March to decide plans for game library at conventions in the future
    2. Book Group: March 15, 6 pm online, This is How You Lose the Time War by Amal El-Mohtar and Max Gladstone.
    3. Video Game Library: working on possible projects, doing fine overall

  8. New Business
    1. ICON looking at possible hotel dates for 2022 and 2023
    2. Adam submitted proposal for a lite charity stream event probably in 2022, will be discussed more
    3. Annual treasurer’s retreat, Saturday March 27th, 2 pm, BOD and convention treasurer’s to plan Mindbridge budget for April 2021 – March 2022.
    4. Adam proposed an Amendment to the Bylaws on Updating Manifestos, will be voted on at the April meeting.
      1. Amendment 2: Projects with Executives shall review their Manifesto annually. If any changes to the Manifesto are needed, then the project Executives must submit to their voting membership any and all changes to the Manifesto, and give them at least thirty (30) days to review. The voting membership for that project must then vote to ratify the changes with a simple majority, with the proposed Manifesto then being forwarded to Mindbridge to vote to ratify at the next meeting.
