Mindbridge Meeting Minutes April 2nd, 2025

  1. Treasurer’s Report (Jon)

  3. Storage Manager (Carhoff Alliance)
    1. Jenny wants to change locks as soon as possible. Jenny will announce today and in 2 weeks the locks will be changed.
    2. Jenny and Alliance to review and revise proposed bylaw updates, to present revised version at future meeting.
      1. Suggested Updates: Exception allowed for video game or other approved batteries as exceptions to risk for flammable.
      2. Suggested Updates: Making a ruling to have batteries removed from electronics and stored in a separate place.
      3. Suggested Updates: Cardboard boxes may be stored for the month prior to a convention with Storage Committee approval, but should not be put back in their cardboard box after the convention is over.
  4. Convention Reports – All conventions are looking for additional help.
    1. AnimeIowa (July 24th – 27th, 2025)
      1. 2026 Bid is due in May
      2. Staff Meeting Apr 12, 2:00 PM @Hyatt and online

    2. ICON (ICON 49.5 – Oct 11th 2025/ICON50-2026)
      1. Hotel block is available for ICON 49.5: Here
      2. Or by calling the front desk at 319-337-4058 extension 0 and asking to book under the ICON 49.5 block. Rooms in the block include:
        1. Family Suite (2) $189; King (10) $139; King roll-in shower (2) $139; Double queen (15) $139. Our hotel contact said the family suites don’t like to pull onto the booking link. If someone would like to book a family suite, reach out directly to Amber Heald at 319-337-4058 or amber.heald@schultehospitality.com.
      3. Registration is available via tabletop.events, the same site Gamicon and AnimeIowa are using for registration: Here
      4. Gay and Joe Haldeman are planning to attend ICON 49.5.
      5. Local author(s) are likely to be invited without financial support.
      6. Next meeting is Saturday, April 19th, 2-5pm. Given many folks are unable to attend in person, the meeting may be completely online. Watch the ICON Discord for the Zoom link.

      3. Overall impression of new location was positive
      4. Gamicon made over $6000
      5. Gave to two charities, HACAP and Last Hope.

      1. Need assistance with running Video Game Library please contact Adam
      2. Switch 2 announcement was today – Releasing June 5th. Plan to pick one up for AI

    1. Pens (300 for each convention) expense would be 1028.37
    2. The locks will be changed in two weeks.

  9. Reminder: $100 charity match from Mindbridge needs to be requested at the most two months after the convention
  10. Graham Eldeen – Scottish Rite Game Day is happening every month, Second Saturday of each month, subject to change – 9 AM to 5 PM
    1. Would Game Library or anyone else be interested in running tables/games? No cost if so.
  11. Mindbridge Membership Meeting
