Tech and AV
Coordinates Tech and AV needs with Programming (Works in programming committee if at all possible).
Spend time getting to know your ConCom. You WILL spend much time at the convention working with them.
Get the above-mentioned to get you a tech listing (Colloquially called a Hot sheet) at least the weekend before the convention so you can review needs for tech, and can make a list of your own.
Coordinate with the Volunteer wranglers. You'll need at least one assistant.
One thing of note. Carry a pen or three. You'll need them for….
Tracking setups.
Teardowns.
Tracking hours for you and your assistants.
Pop-up tech needs (Remember: A lack of planning on someone else's part does not constitute an emergency on yours).
Checklist for equipment pickup from the locker Thursday morning.
Checklist for equipment count-in for Thursday afternoon.
Checklist for equipment count-out on Sunday.
Various other things.
Don't be afraid to ask ConCom for needs that have to be fulfilled on the spot. Things will arise
Most importantly, remember to HAVE FUN. While you serve a vital function, you're here to enjoy yourself.
When pulling from the storage locker make sure to grab….
Four projection screens (small).
One Projection screen (large)(May not be used but better to err on the side of caution).
Six projectors (two for permanent rooms below, two for roaming rooms, two for backup).
The container of powered computer speakers (Should be six pairs/new acquisition for 42).
The container of extension cords and power strips.
The amp (new acquisition for 42).
Six tabletop mic stands.
Six wireless microphones (and the box of fresh AA batteries if at all possible).
The one wired mic (handy for Opening ceremonies or interviews).
Box of gaffers tape (This is REAL handy and EVERYONE will want/need some).
Both rolling boxes of TV monitors for the gaming room (They'll also need some of the above-mentioned gaffers).
Ensures that the two permanent AV rooms (Elm and Chestnut at this time) are set up with….
One Projection screen (small).
One projector.
One HDMI cable.
One VGA cable.
One extension cable.
One power strip.
One set of powered speakers.
Once these rooms are set up, you'll (or your assistants) need to swing by when the tech is actively planned to be used and check for issues.
You, your assistants, ConCom, and Programming will be keeping an eye on these rooms as well to make sure that things don't “walk off”.
You, or your assistants, will need to break these down after the last tech panel (or closing ceremonies) on Sunday.
